Data concerned
Your first and last name, email, phone number and country; your stay details (dates, guests, layout, requested add-ons, message); our email exchanges; for a booking, the signed agreement with its proof of signature (date and time, IP address, browser, document fingerprint) and payment records. Payments are made by bank transfer: the website collects no payment method data. If you send us your bank details (IBAN) for a refund, they are used for that refund only.
Why, and on what legal basis
- Handling your request and sending you an offer: steps taken at your request before entering into a contract (GDPR article 6.1.b).
- Replying to messages sent through the contact form: steps taken at your request before entering into a contract (GDPR article 6.1.b) or our legitimate interest in replying to you (article 6.1.f).
- Managing your booking and stay (agreement, payments, reminders, practical information, email exchanges): performance of the contract (article 6.1.b).
- Bookkeeping, tourist tax returns, keeping proof of the agreement: legal obligations (article 6.1.c).
- Asking for your feedback during and after your stay, without any promotion, and protecting the site against abuse: our legitimate interest (article 6.1.f); you can object at any time.
- Sending you offers for future stays at the villa, after a booking request: our legitimate interest (GDPR article 6.1.f), within article L34-5 of the French Postal and Electronic Communications Code (offers similar to the service requested). You are informed before sending your request and can object by ticking the box provided, then at any time with the unsubscribe link in every email, or by writing to us.
- Sending you our newsletter (site footer): your consent (GDPR article 6.1.a and article L34-5 of the French Postal and Electronic Communications Code), confirmed from the email you receive. You can withdraw it at any time with the unsubscribe link in every email.
- Measuring the site’s audience: your consent, see “Cookies & analytics” below.
Who has access
- The villa’s owners and the site administrator. Our local host may receive your name, phone number and arrival time to welcome you.
- Brevo (Paris, France): sending emails and managing contact lists, with data hosted in the European Union.
- Google (Google Ireland Limited): audience measurement, only with your consent.
- OVH SAS (Roubaix, France): hosting of the website and its database, on a server located in an OVHcloud data centre in Warsaw (Poland, European Union).
- Providers of the add-ons you request (car rental, taxi, cook), for that service only: name, dates and times, number of guests.
- We never sell or rent your data.
Transfers outside the European Union: some of Brevo’s and Google’s subprocessors may process data in the United States. These transfers rely on the EU–US Data Privacy Framework (European Commission adequacy decision of July 10, 2023) or, failing that, on standard contractual clauses.
How long
- Request without booking: 12 months after our last exchange.
- Booking: for the duration of our relationship, then archived: 10 years for the agreement concluded online and accounting records.
- Offers and newsletter: until you unsubscribe or object, or 3 years after our last contact (opening an email does not count).
- Unsubscribing: your address is kept for 3 years on a suppression list, only so that we never write to you again.
- Audience measurement: 14 months (see below).
Emails: our booking emails contain no advertising and we do not track individually whether you open them. Our offers are only sent with your consent and always include an unsubscribe link.
Your rights
You can access your data, have it corrected or erased, restrict its use, object to its processing, obtain its portability, withdraw your consent at any time (without affecting what was done before) and set instructions for what happens to it after your death. Write to us at reservation@mariegalante-location-villacococaline.fr or at SLH’s registered office: we answer within one month.
If you believe your rights are not respected, you can lodge a complaint with the CNIL, the French data protection authority (www.cnil.fr, 3 place de Fontenoy, TSA 80715, 75334 Paris Cedex 07, France).
